Create info@ as a mailbox, then add a forwarder for each person so every message is also delivered to their own inbox. For a small team that answers enquiries together, you can instead share the info@ password and add the mailbox to each person's mail app with IMAP.
Pick the set-up that fits
| Set-up | How it works | Watch out for |
|---|---|---|
| Mailbox plus forwarders | info@ keeps a copy, and each person also gets the message in their own inbox. | Replies come from the person’s own address unless they add info@ as a send-from address. |
| Shared mailbox | Everyone adds info@ to their phone or Outlook with IMAP and sees the same inbox, including what has been read. | Everyone knows the password, so change it when someone leaves. |
| Forwarders only | info@ passes mail on and keeps nothing. | No record at info@ if someone deletes a message. |
Mailbox plus forwarders
- Create the
info@mailbox in cPanel under Email → Email Accounts: see How do I create an email address? - Open Email → Forwarders and click Add Forwarder.
- In the address box type
infoand choose the domain. Choose Forward to Email Address, type the first person’s address and click Add Forwarder. - Repeat step 3 for each person who should receive the mail.
- Send a test from an outside address, such as Gmail, and check everyone receives it.
Shared mailbox
- Create the
info@mailbox with a strong password. - Add it to each person’s phone or Outlook as an extra IMAP account. Replies then go out from info@.
- Agree who answers what, and move handled messages into a folder such as
Done, so two people don’t reply to the same customer.
Using Gmail? You can send from info@ with Send mail as.
When someone leaves, delete their forwarder and change the info@ password the same day.
